Corrections Technology Association (CTA)
Protocol can provide features to help Agencies complete the processes defined in the CTA specifications. Protocol's case management system already provides
option modules for the registration of sex offenders, victim notification, and other special requirements. We provide case types for caseload grouping and
automated processes for evaluating risk. Our database stores various offender data sets including address, work and school, but can be expanded to other
areas for data tracking. The case management system also allows documentation from various departments and/or agencies to better track an offender's progress.
This documentation can include: (but not limited to) officer/agent contact documentation and notes, drug test provider results, aftercare agency attendance and
notes, electronic monitoring violations. CTA specifications cross a large spectrum of correctional needs and some of these are outside the scope of Protocol's
services, but many are options that Protocol provides to customer to facilitate compliance.
American Probation and Parole Association (APPA)
The following details Protocol’s best practices to conform to the APPA case management functional standards document. Within the category of case processing
standards, Protocol's management system complies by offering the following options in our system: automated notifications, offender indicators, ability to
group similar offenders, electronic notes available chronologically, date-time and coding of notes, and a level system providing access to various groups
for input of notes.
In regard to the management standards, Protocol offers detailed online summary reports with print options. These reports address offender overall compliance
as well as detailed event descriptions and chronological notes review. Reports are also available regarding staff activity and productivity. This is all
done within a framework that meets the standards for data integrity and security. Various user levels are used to provide and/or deny access to sensitive
data. All system activity is audited and logged. Users must use an individual login and secure password to access the system. All data entry is validated
using built in business rules and online manuals and screen help are available to help guide the users. Protocol complies with XML standards for any web
services integration and data is backed up nightly and stored off-site.
Global Justice XML Data Model (Global JXDM)
Protocol offers several different integration options including data transfers via XML (Extensible Markup Language). In the XML scenario, Protocol can define
the XML data structure and model to the Agencies request. Protocol will work with the Agency to develop a schema within Global JXDM guidelines. XML Data
structure and models may be tested using the Global JXDM Validator tool to verify compliance.
Justice Information Exchange Model Certification (JIEM)
Protocol provides system integration as an option to all customers. All integration follows the conceptual framework documented in Justice Information
Exchange Model. Starting with the process, Protocol data exchanges are initiated using system triggers. These triggers are activated depending on events,
such as an address or schedule changes. When an event occurs, the system will start a data exchange with the other system ending with a transfer validation
step to check for any errors in the process. The events may have conditional factors that determine the actual data sent or receiver of the data. The
recipient of the data can be just one agency or multiple agencies as defined by the customer. Finally, data exchanges respect the relationship between
various data types to assure data integrity.
